Why it's time to work at The One That Works!

The Office Manager works under direct supervision of the Regional Operations Director for daily procedures, including company sales, administrative, operational, and human resource policies and procedures. Under general direction, oversees the implementation and administration of all policies and procedures for the unit's financial, operational, personnel, and administrative needs. The manager is also responsible for the general maintenance and upkeep of the facility. The environment is fast-paced, and the position is multi-faceted.

General Administrative Responsibilities:

· Executes daily Opening / Closing procedures.

· Collection & data entry of patient registration paperwork.

· EMR scheduling, EMR reports.

· Cash handling, Banking deposits.

· Daily QB's entries.

· Complete weekly inventory count on all products and supplements. Submit requests for orders according to the PAR levels. Place orders on time to ensure product availability.

· Monitor & order inventory levels of all clinical and office supplies.

· Revenue Cycle Management: Billing Queue review and approval, Daily management of Clinic Review inbox, and uploading of paper insurance remittances to the online platform utilized by the Billing Company.

· Completion of Insurance Verification of Benefits, obtain required registration forms and waivers and ensure necessary referrals are received and documented.

· Management of patient A/R: ensure accounts are reviewed as part of the daily preparation to support collections at the visit. Monthly review of Patient AR and handling of patient invoices.

· Supervision of the Insurance AR to ensure the billing company is managing claims appropriately.

· Regular communication with the Billing Company to address areas of improvement.

· Maintenance of Entity and Employee electronic and paper records required for ACHA. To include handling Level II Background checks, facility requirements, and attestations.

· Overall facility management to include equipment servicing and ongoing maintenance.

Requirements

· Degree in Business or related fields.

· Five years of Sales Experience.

· Three years of Management Experience.

· Previous weight loss program/ product sales experience preferred.

· Insurance Verification of Benefits.

· Claims Processing.

· Intermediate knowledge of QuickBooks

Other Skills/Abilities

· Ability to multi-task, apply critical thinking skills, and provide the highest level of customer service at all levels of the operation.

· Good working knowledge of medical terminology, the science of weight loss, and nutrition.

· Strong interpersonal skills with the ability to effectively communicate both over the phone and face-to-face.

· Ability to ask for the order and overcome objections.

· Attention to detail with the ability to multi-task and work in a fast-paced environment.

· Effectively manage cash flow to ensure availability of products, supplies, etc.

· Ability to manage staff members.

· Ability to write routine reports and correspondence.

· Ability to speak before groups of customers or employees of organizations.

· Ability to maintain confidentiality.

· Confident, positive team player.

· Must be proficient in Microsoft Office and Outlook

· Must be able to lift and carry 25+ pounds and sit for long periods.

Work Environment

· Sales experience in Medical Setting

· Operate according to National Franchise System Standards

· Local travel may be required

· Ability to work some evenings and Saturdays

· Ability to meet minimum 40-45 hour work week

· Unit Performance / Sales.

· Telephone Handling- Implement the company-approved telephone script and schedule appointments with a minimum booking ratio of 51%.

· Internet Leads- Implement the company-approved procedures for handling internet leads and scheduling appointments with a minimum booking ratio of 40%.

· Assessments-Implementing company-approved methods, presenting the company products and services with a minimum booking ratio of 80%.

· Actively source and participate in low-cost guerilla marketing initiatives. Meet minimum quota for Corporate Wellness and provides ongoing support to promote unit profitability.

· Human Capital Development.

· Lead weekly staff meetings to review company updates, outline specific unit goals & objectives, and address company policies. Maintain a record of the sessions through agendas and minutes.

· Recruitment, Interviewing, and Onboarding of personnel following the company procedures/ policies.

· Establish and execute training curriculum for all new hires and ongoing personnel development.

· Draft, publish and implement into online Timekeeper and staff schedules. Ensure published staff schedules are according to established policies and directed by management.

· Promote an environment of ongoing learning and development. Exude a team-spirited motivating environment.

· Promote the unit incentive plans, complete continuous tracking and reporting on performance to goal, and calculate staff incentives at the end of each month. Upon approval of management, submission in the next payroll cycle.

· Coach staff on performance and professional development, holding all employees to the highest standards of operational excellence.

· Demonstrate understanding of company policies and the ability to educate staff members accordingly.

· Ensure all employees have completed the required compliance courses and certifications.

Job Type: Full-time

Pay: $50,000.00 - $58,000.00 per year
